Knowledge

The library the agent answers from, with folders, documents, uploads and suggested knowledge.

The agent searches the documents here when it answers. How it searches is on Built-in abilities.

The library. The icon on each row says where the document came from.

The library

Each row is a document or a folder. A document row shows an icon for its source, its title, and a badge when its state needs attention.

Badge Means
None Ready. The agent can find it
Indexing Being converted or indexed. A new document is not searchable yet. An edited one answers from its previous version until this clears
Failed Conversion or indexing failed. Open the document to read why and press Try again

Search and filter

  • The search box, Search by title, matches document titles only and returns up to 30 results.
  • The source filter narrows the list to one source.
  • Searching or filtering shows a flat list. Clear both to get the folders back.
  • The tree holds the 1,000 most recently updated documents and up to 200 folders. Search reaches every document.

Pull fresh copies

The arrows button, Pull fresh copies from GitHub and Notion, appears once the library holds a GitHub document, or a Notion page while Notion is still connected. Its tooltip names only the sources you have. It reads every file in every connected repository again, and pulls every imported Notion page again. A repository already syncing runs it once that sync finishes. It spins while any of those documents is indexing. For when each source refreshes on its own, see Connected sources.

Folders and selection

Folders

Create a folder from Add → New folder, or inside another folder from its menu.

Field Limits
Name Required, up to 60 characters
Description Optional, up to 200 characters. The organize action reads it
Icon Optional. SVG or PNG, under 512 KB
  • Folders nest 3 levels deep. Past that, Folders go three levels deep, and no further.
  • The number beside a folder counts the items directly inside it.

Delete Deletes the folder and moves its contents up one level

A document row’s menu has Add public link or Change public link, Move to and Delete. Right-click any row for the same menu.

Drag to arrange

Drag a row to reorder it or file it in a folder. The top and bottom edges of a folder row place the item beside the folder. The middle places it inside. Hold a dragged item over a closed folder for half a second to open it.

Select several

  1. Hover a row. Its icon turns into a checkbox.
  2. Tick it. While anything is selected, clicking a row toggles it.
  3. Shift-click to select a range.

The bar at the bottom reads N selected, with Move to, Delete and a button to clear the selection. Escape clears it too.

Message Cause
Delete N items? Confirms a bulk delete. Documents are deleted. The contents of deleted folders move up one level
Nothing selected could move there. Every selected item would break the depth limit
Some folders could not go that deep, and stayed put. Part of the selection moved
Up to 200 documents at a time. The selection holds more than 200 documents

Organize the library

The wand button, Organize documents into folders, appears once the library holds two documents.

  1. Press the wand. The Organize dialog reads your library.
  2. Review the proposed changes. A folder that does not exist yet is marked New, and new titles are listed under Renamed.
  3. Press Organize. Nothing moves before that.

  • It reads document titles, sources, file names and paths, one line from the top of each document, and folder names and descriptions.
  • It never renames or deletes a folder.
  • It looks at the 200 most recently updated documents. A larger library shows Only the 200 most recent documents were looked at.
  • No changes suggested. means everything already fits.
  • It needs Standard or Pro. On Explore the dialog shows AI organization is available on Standard and Pro. See Plans.

Every new or changed document is indexed. Indexing uses AI credits, so it needs Standard or Pro and credits left. Without them a document shows Failed with Indexing is paused. Check available credits or try again later. Press Try again once credits are back. See Plans.

Admins and owners see a line under the page title while indexing can’t run: “Indexing needs Standard or Pro, so new documents won’t be searchable yet.” on Explore, or “Indexing is paused until you add credits, so new documents won’t be searchable yet.” when credits run out.

Create a document

  1. Choose Create a document, or New document in a folder’s menu.
  2. Enter a title, up to 120 characters.
  3. Write the body. Type / for the block menu. Select text for the formatting toolbar. Drag the handle in the margin to move a block.
  4. Press Save, or Cmd+S / Ctrl+S.

The body is stored as markdown, up to 900 KB. The document opens once saved and shows Indexing until it is ready.

Message Cause
Leave without saving? You are leaving with unsaved work. Leave discards it
The document is empty. The body has no text
That document is too long for one entry. Split it up. The body is over 900 KB

Upload files

Choose Upload files and pick up to 10 files at a time, up to 20 MB each.

Accepted Extensions
Markdown and text .md .mdx .markdown .txt

  • Each file becomes a document titled with its file name, minus the extension.
  • The row appears at once with Indexing. Conversion runs in the background.
  • Markdown and text files are stored as they are. Everything else is converted to markdown.
  • When every file makes it, you return to the library.

Errors under the upload button:

Message Cause
Up to 10 files at a time. More than 10 files picked
{file}: That file is too big to import. Keep it under 20 MB. The file is over 20 MB
N files did not make it. Try them again. More than one file failed to upload

Errors on a document that shows Failed:

Message Cause
This file format cannot be imported. Try a text-based PDF, Markdown, or plain text file. The format is not supported
This document could not be read. Export a new copy and upload it again. The file is damaged
This file is password protected. Remove the password first. The file is encrypted
This document exceeds the conversion limit. Split it into smaller files. The file is too large to convert
This document is incomplete. Export a new copy and upload it again. Part of the file is missing
Nothing readable came out of this file. Conversion produced no text
This file converts to more than one document can hold. Split it up. The converted text is over 900 KB
The uploaded file is gone. Upload it again. The stored file could not be found when conversion ran
This file could not be converted. Any other conversion failure

Documents

Open a document to read it. The line under the title shows its source, the file name or repository path, its public link, when it was last updated, and any status badge.

How links are worked out and checked is on Published links.

Edit a document

  1. Press Edit. The title, body and Public link field become editable.
  2. Press Save, or Cmd+S / Ctrl+S. The document is indexed again.

Cancel with unsaved changes asks Discard changes?

Document actions

The three-dot Document actions menu holds the items that apply to the document.

Suggested knowledge

Suggested knowledge sits above the library when a suggestion is waiting. It shows a count and the newest 100. Only admins and owners see it. The dashboard lists the same suggestions under Knowledge suggestions.

Where suggestions come from

Turn both off and no new suggestions arrive. Both need Standard or Pro. See Plans.

The card

Hover or tab into a card to expand it.

  • An update can only target a Written, Uploaded, Scraped or Learned document of 8,000 characters or fewer.
  • A settled suggestion stays on record, so the same suggestion from the same conversation is not filed again.
  • Each new suggestion also sends the knowledge.suggestion.created event. See Webhooks.
Error Cause
The original document was deleted. Dismiss this suggestion. The document it updates is gone
That page has changed since this was written. Dismiss it and wait for a new suggestion. The document changed after the suggestion was filed
This document can no longer be updated. Dismiss this suggestion. The document is now over 8,000 characters
This suggestion has already been reviewed. Someone else settled it first
